Job Description

Under the supervision of the Vice President of Sales and Marketing, the Concierge is responsible for providing superior customer service to our residents, families, staff members and visitors, by generally being the first point of contact to our guests.  The position supports the administrative needs of the department whose function is to both maintain high occupancies in all business sectors and ensure the brand integrity is maintained and the Duncaster name is represented in the marketplace.

  • Greets visitors and directs them to person or area they are visiting.
  • Answers all incoming calls and directs calls to appropriate party or unit. Takes messages as required.
  • Provides clerical support as directed as necessary including typing letter, creating and updating basic Excel spreadsheets, creating internal advertising announcements using Microsoft programs, faxing, filing, etc.
  • Order and track office supplies.
  • Maintain marketing supplies inventory and reorder as appropriate.
  • Assists in coordinating meetings, booking meeting rooms, and supporting marketing event functions. 
  • Assists in processing new resident applications.
  • Answers general questions from residents and visitors and channels requests to appropriate departments while maintaining confidentiality when necessary.
  • Directs job applicants to Human Resources Department.
  • Sorts and distributes mail.
  • Oversees fax area; checks incoming faxes and places them in appropriate boxes. Calls resident/staff when they have a fax.
  • Assures receptionist area is tidy and welcoming.
  • Opening and closing procedures according to security protocols. 
  • Support the related administrative needs of the department.

 

Job Requirements

  • The ideal candidate will have prior experience working with the geriatric population. 
  • Must be organized, detail-oriented and have the ability to handle a variety of tasks simultaneously.   
  • Must demonstrate high-touch customer service behavior by greeting prospective residents and guests, making them feel welcome, and alerting marketing staff according to procedure.
  • Excellent interpersonal skills required.  Ability to demonstrate and model respectful and effective communication with all co-workers, residents, and visitors. 
  • Must have working knowledge of MS Office programs including WORD, EXCEL, OUTLOOK, and PUBLISHER.
  • Previous database entry experience is helpful.
  • Previous customer service or receptionist desk experience is required. 
  • Must be able to operate office equipment, photocopier, postage meter, etc.
  • General knowledge of phone operations; transferring incoming calls, etc.
  • General knowledge of typing, filing, office procedures and equipment.
  • High school diploma or equivalent and one year experience in related field.
