Job Description

Under the supervision of the Vice President of Marketing & Sales, provides administrative support for the Marketing and Sales department and receptionist duties at the Green Awning entrance.  Performs all job responsibilities according to Duncaster's Policies & Procedures, and philosophy of operation.

  • Assist Vice President- Sales and Marketing in the proofing of ads, direct mail and marketing materials.
  • Plan, coordinate and implement all sales and marketing events: catering, staffing, related data entry, RSVPs, event files and presentations.
  • Support resident Gallery Committee with small mailings, Opening Reception planning; coordinate flow of information from Gallery Committee to public relations firm.
  • Entry of new leads into database.
  • Coordinate New Resident Orientation dates - notices, letters, forms and photos.
  • Prepare purchase orders and/or check requests for related expenses; route invoices to other departments
  • Distribute and manage incoming documents related to residency.
  • Maintain Advertisement, Contract, Public Relations and Direct Mail hard copy binders.
  • Research promotional give-away items.
  • Greet guests of marketing.
  • Manage walk-ins.
  • Handle outgoing department mail.
  • Act as liaison for photo shoots.
  • Assist Vice President- Sales and Marketing in special projects.
  • Assist Vice President- Human Resources in special projects.
  • Assist Vice President- Finance in special projects.
  • Assist in move-in process in absence of Marketing Associate/Move-in Coordinator.
  • Organize, order and inventory office supplies.
  • Assemble brochure packets.
  • Act as receptionist at Green Awning entrance.

 

Job Requirements

  • Comprehensive knowledge of office equipment, photocopiers, practices, procedures, administrative and receptionist skills.
  • Experience in marketing environment preferred.
  • Basic knowledge of Microsoft Office.
  • Ability to communicate tactfully and effectively with residents, staff, and visitors.
  • Minimum of two years’ college preferred.
